Section 1: Prices, Fixed Rates & Quotations
1.1: Contract
The agreed final price represents a written contract for the exact hire to be completed at the price quoted.
Any agreement made verbally is not covered by the contract unless it has been written into said contract.
The agreement is made between Just for your Occasion and the client. The client is identified as the person who requested the quotation.
Just for your Occasion will not enter any dialogue, accept any requests, or communicate in any way with anyone other than the client except where the client has provided written permission that allows them to do so.
The acceptance of the quote, electronically or by any other means signifies a full acceptance and commitment to accept these terms and conditions.
Please check your quotation carefully.
1.2: Scope of work
• The quote given by Just for your Occasion represents the requests of the client and we will not be held liable for any task that is not included in the written estimate. All estimates are valid for 30 days regardless of the booking time frame.
1.3: Delivery & Collection
Just for your Occasion agrees to give the clients free delivery within the Wakefield area for both delivery and collection. Any areas beyond this will be charged as a calculated cost.
We request that upon delivery of the hired items, the client or an elected/designated person must be available at the venue to confirm the set-up of the items.
Collection of hired items will be arranged for the agreed date and time. This will usually be done with the venue. The client/elected person must ensure that all hired items are ready for collection in the same condition as delivered.
In certain circumstances there will be a hire period to your booking. If the hire period is exceeded agreed to in the invoice, the excess time will be billed at a further £50 per hour.
1.4: Care, Responsibility & Injury
The client is responsible for the hired items from the time of delivery until collection. Any loss, damage of theft of the items will be the client’s responsibility and they will be liable for the FULL replacement of repair costs.
The client must ensure that hired items are used in a safe and appropriate manner. Any misuse of negligence resulting in damage or injury will be the client’s responsibility.
Items included within this include our range of electrical items. If a fault occurs on one of these items, Just for your occasion needs to be contacted immediately in order to try and resolve the issue.
1.4.1: Audio Guestbook
• All Audio Guestbooks upon the time of delivery will have a personal greeting recorded onto them. All Audio Guestbooks are tested prior and at the time of delivery with a test recording (this will also be video recorded). Once delivery has been made it is the client’s responsibility to make use of the Audio Guestbook. Just for your Occasion are not liable for any recordings if the Audio Guestbook has not been used. Recordings will be sent via post on a Wooden USB stick within 5-10 working days.
1.5: Electric, Water & WC
• The client will be expected to provide electrical power, running water and toilet facilities where possible. If you’re hire is to be situated at a venue, the venue must be notified if a power supply is needed. Just for your Occasion will supply extension cables where needed. Any extension cables provided are for the use of Just for your Occasion use only. For any third-party use, Just for your Occasion cannot be held liable for any electrical faults.
1.6: Weather
Most items provided by Just for your Occasion are designed to withstand adverse weather conditions. We advise that you keep Just for your Occasion up to date with weather reports leading up to your event.
In the case that there is due to be an adverse weather/or there is a sudden unexpected change of weather Just for your Occasion advises that alternative arrangements can be made for the items provided by Just for your Occasion to be brought indoors.
In the expectation of adverse weather where alternative arrangements aren’t possible, Just for your Occasion can provide Gazebo cover for the hired items at an additional cost of £20 per gazeebo.
1.7: Cancellation
In the event of cancellation by the client, the client agrees to notify Just for your Occasion in writing, by email or by message 28 days before the hire date. If Just for your Occasion are not notified of the cancellation, the client agrees to pay ALL Just for your Occasions administration, lost work and scheduling costs amounting to no less than 50% of the total project cost (excluding deposit). PLEASE NOTE THAT YOUR DEPOSIT IS NON- REFUNDABLE.
If the client elects to cancel our services after we have begun work, NO costs will be refunded. Postponement of scheduled hire rather than cancellation is acceptable only if the rescheduled date is bona fide.
In the unlikely event that we are unable to fulfil the booking due to circumstances beyond our control, we will provide a full refund of offer an alternative solution where possible.
1.8: Items/Materials
• All necessary items/materials can and will be provided by us unless otherwise agreed and will always be of high quality and used in an appropriate manner as per the manufacturer’s guidelines. Just for your Occasion are not responsible for the performance or suitability of any materials, parts or products purchased directly by the client and allow Just for your Occasion to use these at their own risk. On occasion it may be that additional materials are needed due to factors outside the control of Just for your Occasion and agreed by the client. Just for your Occasion will more than happy purchases extra materials if needed which will be added to the client’s final invoice.
1.9: Changes to your requests
• Any estimate is subject to revision. If the client makes changes to their services required after receiving an estimate from Just for your Occasion, customers must let us know of all changes made as soon as possible, so that their estimate can be revised. Any changes made without notifying
us, may cause a delay in the work until a price has been agreed for any changes. Any changes made to the venue without notifying us, may cause a delay or even cancellation of the agreed work.
1.10: Storage of Items
• We may request that the equipment is to be stored at the venue overnight. If this is the case this is to be agreed with by the venue.
1.11: Validity of quotations
• Quotes are valid for 30 days from the date of issue.
1.12: Payment of work
• The client agrees to pay the invoice for the hired items 14 days before the hire date, unless otherwise agreed. If the client is unhappy with the standard of services provided by Just for your Occasion the correct complaints procedure as shown in these terms and conditions must be followed. We are happy to provide invoices for businesses and individuals. However, payment is due within the timescales as stated in the Terms and Conditions and the amount, unless amended by Just for your Occasion, is fixed in the quotation. Therefore, the client is liable for payment, regardless of whether an invoice has been received. A second copy of an invoice can be issued at a cost of £15 per invoice to cover administration costs.
1.13: Termination of the contract
• Just for your Occasion will not tolerate aggressive or rude behaviour, racism, nationalism, sexism, homophobia, or ageism directed towards any of its staff and reserves the right to terminate the contract at any time.
Section 2 - Payment
2.1: Payment methods
• Deposits and final balances must be paid via Bank Transfer to the details provided on the invoice.
2.2: Payment process
A non-refundable deposit of £75 will be required upon acceptance of the quote to confirm your booking. WE DO NOT SECURE YOUR DATE UNTIL THE DEPOSIT IS PAID.
Also, a £100 security deposit will be taken two weeks prior to the event date to cover any damages. This will be refunded after the event, upon inspection of the hired items by a member of the Just for your Occasion team. Please allow 5-10 working days for the items to be inspected.
2.3: Payment time scales
The client agrees to pay the invoice a minimum of 14 Days before the hire date. Just for your Occasion reserves the right to re-issue the invoice and request payment within 7 days of re-issue. Should the outstanding balance not be settled within 7 days, Just for your Occasion reserve the right to apply an administration charge of £25.00 for each re-issue of invoices thereafter.
If the client fails to pay the outstanding balance a minimum of 14 days prior to the hire date, Just for your Occasion also reserves the right the cancel the booking.
2.4: Unpaid accounts
• If Just for your Occasion cannot recover any outstanding amounts after a reasonable amount of time, we will employ the services of a debt collection agency. The client accepts that the debt collection agency will increase the outstanding amount to cover their costs – this fee is applied as soon as the debt is passed from us to them and usually amounts to
33% of the cost of the invoice – it is therefore strongly in your interests to settle your invoice as soon as possible to avoid these extra costs. Once the debt passes from us to the debt collection agency, we have no further involvement in the account and cannot reverse the process or any associated fees.
Section 3 - Privacy Policy
We will never sell or otherwise pass on your contact details to any other company or third party, unless required to do so by law. When you contact us, your details may be retained to assist with your enquiry. Your details will be used for correspondence and may also for marketing purposes by Just for your Occasion. If you do not wish for your details to be used for marketing purposes, please contact us.
We may collect additional information in connection with your participation in any promotions or competitions offered by us and information you provide when giving us feedback.We may also ask for you to provide and/or ask your permission to use any photographs containing the hired items from Just for your Occasion for promotional purposes. The client reserves the right to refuse this request.

Section 4 - Public Liability & PAT
All bookings taken with Just for your Occasion are covered by a minimum of £5 million public liability insurance. If the client’s venue requires proof of cover, a copy can be requested by emailing enquiries@justforyouroccasion.com. If the venue requires cover exceeding £10 million, this can be arranged at an extra cost.
All of the electrical equipment provided by Just for your Occasion is PAT tested and maintained to ensure the safety of clients. If the client’s venue requires a PAT Testing Certificate, a copy can be requested by emailing enquiries@justforyouroccasion.com.
